Outsource Payroll Processing to India

In any business, it is important to ensure that timely and appropriate payments are made to the employees to maintain their level of satisfaction and keep them motivated. The employees are the backbone of all kinds of business and their interest need to be properly taken care of. In this context, the pay roll processing and payment has its own importance.

What we do?

  • Prepare and file new hire reporting to state
  • Prepare and file, Federal, State, and local payroll taxes
  • Prepare employee earnings statements complete with current pay period and year-to-date wages, taxes, and adjustments.
  • Complete payroll and client prints, signs and distributes paychecks
  • Prepare department summaries of month-to-date payroll data in addition to customized reports specific to Client
  • Completes Year end W-2 forms

What we use for Payroll Preparation?

  • If client is maintaining Payroll in Accounting Books, we will use the Software being used by client or if Client prefers to use some other software, we would switch to that software.
  • We can also work with Web-browsing tools (provided by third party) as QBOE, PayChex, and PayCycle etc.

What we need for Preparation?

  1. If Payroll for earlier periods is already maintained in Accounting Books , we need:
    1. Copy of Accounting File – only once at initial Stage of Working by us.
    2. Attendance Sheet of Employees - Weekly/ Bi-Weekly / Monthly (based on payment period we need to follow in paychecks) which is normally provided to FinTax at least 5 days before the payment day so that any query or discrepancy in data information can be resolved before the payment day.

  2. If this is first time when client is paying to employees, we need:
    1. Client need to register with concerned State Legislation…We will guide client to know the applicable rules and regulations.
    2. Employee Information in “FinTax – Employee Information Template ” which would be provided by FinTax
    3. Attendance Sheet of Employees - Weekly/ Bi-Weekly / Monthly (based on payment period we need to follow in paychecks) which is normally provided to FinTax at least 5 days before the payment day so that any query or discrepancy in data information can be resolved before the payment day.
  3. After getting the above information, we would create paychecks for employees OR in case of missing information, we will ask for update before creation of these paychecks. An intimation mail would be sent for printing after successful creation of these paychecks.
  4. Client would be provided with updated Accounting File on Secured Server OR in case of working with third party applications, online update would be available.
  5. Client would then sign and distribute these checks to Employees.
  6. If direct deposit facility with Bank has been accepted by Client, after the Paycheck amount is approved, FinTax would transfer these amounts to Employee Account.
  7. If client is registered for Electronic Deposit facility, FinTax would deposit the Government Dues to appropriate authority also.

We can work through following processes:

  • Live Working on Client’s Computer through Secured Remote Access via GoToMyPC, LogMeIn, VPN, PC Anywhere etc.
  • Live working in India and then completed Work would be provided through Secured Server.
  • Also when we would work through Third Party Applications (Web based), update or completed task would be available online.
