How does an online outsourcing work?

As each practice is different, we offer three different ways for helping outsourcing service work. The first way is to work on our secure server where all documents are scanned into our secure FTP portal, downloaded and worked on by FinTax team in India, and uploaded on time back to the portal. Second process of working is through remote login using secure virtual technology like VPN/Citrix/GoTomyPC, Team Viewer etc. where our people from India will log into your system and complete the work. Third way to work is the cloud by using third party hosting server like QB Online. This simply requires login details by our team and everything is so smooth thereafter. Can I outsource only a few tasks or do I need to outsource my entire project?

How do you ensure client confidentiality?

We value concerns about Security and Confidentiality and treat the handling and transfer of data very serious. FinTax has robust systems and processes in place to ensure 100% safety of data.

  1. We are An ISO 9001:2015 certified company and one of the processes certified is linked to data confidentiality and security which securely protect information and intellectual property of FinTax and its clients. Also we have ISO/IEC 27001:2103 Accreditation which is series of standards specifically reserved by ISO for information security matters. This is the specification for an information security management system (an ISMS) which replaced the old BS7799-2 standard.
  2. We have a defined IT Policy in place which is updated each year to make it compliant to new standards. As per this policy, we use secured layer server for data transfer which ensures absolute data security while the data is transferred to us. This security is equal to the security provided by banks for providing services on their ATMs.
  3. We sign Non-Disclosure Agreement with our clients and also sign the similar agreement with our employees. FinTax has a strict Employee screening before an appointment is offered and undertake a verification reference check before employment commences. Legally binding Employment Contracts with stringent measures of dismissal upon misconduct are in place.
  4. FinTax Experts has in place a comprehensive service center security policy that is implemented to ensure secure financial services outsourcing. The security measures adopted include:
    • Restricted physical access to the processing and server environments.
    • Ensure a paperless system so data cannot be removed from the facility. Virtually restrict internet access on the computers used in operation and data retrieval and transmission is done under the supervision of the project manager.
    • Further, media less computers ensure files cannot be copied and Outlook has been removed from all PC’s. Physical Security.
      • A security guard is available at the entrance.
      • Access card required before entering the server room; which is restricted to only dedicated employees.
      • Tasks are performed in a paperless environment and no source documents/accounting data are printed.
      • The printer is limited to printing only the management reports.
      • Briefcases, bags and other personal belongings of the employees are not allowed in the service center.
      • There are no removable media devices and the PC’s do not have floppy drives or CD R/W drives.

Is FinTax able to work with different software applications?

I already have an accountant working for me and my question is: would I have to ask my accountant to go?

No way, as we are only trying to take away your accounting and bookkeeping headaches. Both your accountant and our people can work in harmony and we can even work closely with a Certified Public Accountant of your choice. Your current accountant will be helpful for sending us accurate data for our people to process. However, if at a later stage you feel workload has increase due to expansion of your business, you can decide not to recruit more people at your end or decide to fully outsource all your tasks and we all take care of all you finance, taxation and accounting needs.

Is there a formal contract before work starts?

Yes, in order to have transparency and clarity in our dealings, we do execute contracts which are mutually accepted to both of us. We have the draft of these agreements with us which we share with our clients and after their approval these are signed.

I am already using a software for managing my accounting/bookkeeping needs and i donot want to change this. Would it be possible if I outsource my tasks?

There is no issue involved as our people can remotely login into your system and do the tasks using your software and data/information available in your computer. In fact 100+ of our clients have the same issue and neither the client nor we have faced any issues working through the remote login we have used for them. How the process will work is our headache and we will walk you through the process in no time.

What is your turnaround time?

We provide delivery of our services with a turnaround time of 16 working hours if the working involved is for upto eight hours. In case there is a long term contract for regular working each day, the turnaround time will be next working day depending on the volume of work, project complexity, urgency, and type of work.

How can I do the payment?

We accept payments through all modes of international payments normally used across world like, wire transfer, PayPal, credit/debit card, Transferwise, Veem, OFX etc.

Can you prepare taxes for me and my business?

Taxes are best prepared by a tax return preparer who is different to accountant/bookkeeper, and is one who specializes in tax preparation for our clients. So, when you avail of our services, you are automatically assured of services of someone who is abreast with latest of the law, and you pay for this service much less than what you pay in your country or pay to accountant not experienced to do taxes. Instead, you take advantage of the unique expertise of our tax return professional who prepare over 1000 tax returns each season.

We can process all payroll and state sales tax filings, annual Federal and State taxes including individual, Partnership and S-Corporation returns like Form 1040, 1065, 1120, 1099s, K-1’s, W-2s ,1096, W-3 etc.

I have let my books fall by the wayside and need help doing this right. Can you help me catch up with my books?

Absolutely OK for us and in fact we have helped many clients...may be over 100 so far! For most of these clients we ended doing a bit to a lot of clean up. We have seen this happening with many people who are in small business and have fallen behind as they have been getting this done from part time accountant or have been doing on their own.

Do I need to clean up my books before i handover these to you?
